Identify the finding

Give the defect a unique action reference. Record the exact item, location and observed condition. Link the originating check or service report.

Assign responsibility

Record who was informed, when, the owner, target and the decision on urgency. Arrange suitable interim measures through the person controlling the premises; urgent action must not wait for a monthly review.

Record the repair

Retain the contractor report and identify the work completed. Keep any limitation or unfinished work visible.

Verify before closure

Check the original finding against the repair scope and supporting evidence. An invoice or attendance alone does not establish that a fault is resolved. Record who verified completion, how and when, and review interim measures.

Use with your premises procedure

This guide supports the printed record. It does not replace the fire risk assessment, system instructions, required specialist records or competent assessment. Work within your training and authority.
